A summary of this opportunity
As an HR Administrator, you will support the Employee Life Cycle Lead based in Poland and the Human Resources team based in London to provide a proactive and professional service to ICG’s current and future employees. Your daily responsibilities involve supporting our talent development team as well as assisting with the employee lifecycle process (onboarding and offboarding) and other general HR administrative duties.
This is a fast-paced role that requires you to be adaptable, and highly organised with the ability to prioritise several tasks simultaneously, including the handling of confidential and sensitive information. You will be able to demonstrate confident interpersonal skills to support employees at all levels and display a commitment to being a team player.
The role requires a confident professional individual with a flexible attitude to work and good prioritization skills. Must be willing to help out wherever necessary and have the ability to deal with confidential and sensitive issues. Our candidate should demonstrate excellent organisation and interpersonal skills to be able to deal with employees at all levels.
Primary Responsibilities
The responsibilities of the role include, but are not limited to:
Talent Development
Scheduling

Managing the Talent Development inbox and calendar

Scheduling sessions in Outlook (e.g. Induction sessions, D&I sessions, SPP sessions)

Creating attendee lists for sessions e.g., onboarding programme (Intro to PE, Conscious Inclusion, Global Induction)

Maintaining attendance trackers and updating in Workday Learning

Monitoring usage of digital learning inititaives e.g. London Business Forum, LinkedIn learning, Finance Unlocked

Booking rooms in London as needed
Development Budget/Professional Qualification

Monitoring development budget and professional qualification requests working with TD Manager

Booking courses for Development Budgets or Professional Education

Rescheduling courses if needed
Workday
-
Setting up courses, programs, and lessons, uploading content as required

Editing highlighted courses and content
-
Sending suggestions for courses to employees
-
Monitoring mandatory training completion
Finance

T&D invoicing
-
Dealing with invoices
-
Managing invoice tracker
Psychometrics

Sending out login credentials to employees

Maintaining completion trackers

Saving reports in appropriate locations
Content

Support TD with updating presentations, slides etc.

Support TD requests for data and reporting

Support development of content and coordination of initiatives and programmes
Employee Lifecycle

Assisting with the employee life cycle process, particularly offboarding

Terminating employees in Workday

Preparing leaver letters

Scheduling exit interviews

Holiday pay calculations

Entering other leaver payments into the system

Maintain all staff records (paper and electronic)

Creating and managing profiles for outsourced providers in Workday
Key Requirements/ Qualifications

2+ years overall experience gained within a corporate environment in any of the following disciplines:

Administration

Human Resources
-

Computer literate with good knowledge of Microsoft Excel, Word, and PowerPoint.

Experience with Workday is advantageous.

Proficiency in English.
